Org Admin Overview

Understand your role as an Organization Admin in Testify, what you can manage, and how to navigate the org admin dashboard.

Overview

The Org Admin role gives you administrative control over your organization within Testify. Unlike the Super Admin (who manages the entire platform), you manage users, classes, and settings within the boundaries of your specific organization. All data you see and manage is isolated to your tenant.

What Org Admins Can Do

As an Org Admin, you have access to the following capabilities:

User Management

  • Add, edit, and remove teachers and students
  • View all users in your organization (filtered by role, searchable by name or email)
  • Bulk import students and teachers via Excel/CSV files
  • Generate invite links for teachers and students
  • View user activity and last login timestamps

Class and Section Management

  • Create and manage classes and academic years
  • Create sections within classes
  • Assign students to classes and sections
  • Assign teachers to classes

Organization Settings

  • Update organization name, contact information, and address
  • Configure branding (logo, primary color, secondary color)
  • View your organization's tenant code

Analytics and Reporting

  • View organization-wide statistics (total students, teachers, classes, active exams)
  • Access performance analytics across the organization
  • Monitor teacher and student activity

Exam Oversight

  • View all published and active exams in the organization
  • Monitor exam completion rates
  • Access exam analytics and results

What Org Admins Cannot Do

Understanding the limits of the Org Admin role is just as important:

  • Cannot manage other Org Admins, Org Owners, or Super Admins
  • Cannot access data from other organizations
  • Cannot create or delete organizations
  • Cannot manage global platform settings (AI providers, global prompts)
  • Cannot manage billing or subscriptions (unless also assigned billing permissions)
  • Cannot access the super admin panel
  • Cannot change the organization's data residency if enforcement is active

Tip: If you need access to a feature not available to Org Admins, contact your Org Owner or the platform Super Admin.

The Org Admin Dashboard

When you log in as an Org Admin, your dashboard provides an at-a-glance view of your organization.

Dashboard Statistics

The dashboard displays key metrics:

Accessing the Dashboard

  1. Log in to Testify with your Org Admin credentials
  2. The dashboard is your default landing page
  3. Statistics refresh each time you visit the dashboard

Dashboard Statistics

The sidebar navigation includes sections relevant to your role:

  • Dashboard -- organization overview and statistics
  • Users -- manage teachers, students, and invite links
  • Classes -- manage classes and sections
  • Exams -- view and manage exams
  • Analytics -- performance reports and trends
  • Settings -- organization configuration and branding

Quick Actions

From the dashboard, you can quickly:

  1. Click "Add Teacher" to invite or create a new teacher account
  2. Click "Add Student" to add a student individually or via bulk import
  3. Click "View Analytics" to see organization-wide performance data
  4. Click "Manage Classes" to set up classes and sections

Managing Your Organization Profile

Viewing Organization Settings

  1. Navigate to "Settings" > "Organization"
  2. View your organization's profile:
    • Organization name and type
    • Tenant code
    • Contact email and phone
    • Address (city, state, country)
    • Branding configuration

Updating Organization Information

  1. Go to "Settings" > "Organization"
  2. Edit the fields you want to update:
    • "Name" -- organization display name
    • "Email" -- primary contact email
    • "Phone" -- contact phone number
    • "Address", "City", "State", "Country"
  3. Click "Save Changes"

Configuring Branding

  1. Go to "Settings" > "Organization"
  2. Under the "Branding" section:
    • "Logo URL" -- URL to your organization's logo
    • "Primary Color" -- hex color for the main theme (e.g., #4f46e5)
    • "Secondary Color" -- hex color for accents
  3. Click "Save Changes"

Branding applies to the platform interface, email notifications, and certificates.

Tip: Use a square logo image (at least 200x200 pixels) for best results across all display contexts.

Understanding Tenant Isolation

As an Org Admin, all your actions are scoped to your organization's tenant. This means:

  • You only see users who belong to your organization
  • You only see exams and questions created within your organization
  • You only see analytics for your organization's students and teachers
  • API requests are automatically filtered by your tenant ID

This isolation is enforced at the middleware level and cannot be bypassed by Org Admins.

Working with the Invite System

Invite links are one of the most efficient ways to onboard users into your organization.

  1. Go to "Users" > "Invite Links"
  2. Click "Generate Invite"
  3. Select the role (Teacher or Student)
  4. Optionally specify a class and section
  5. Set expiration and max uses if desired
  6. Click "Generate" and copy the link

Share the generated link with users via:

  • Email
  • Messaging apps
  • Classroom notice boards
  • Organization website

When users click the link and sign up, they are automatically added to your organization with the correct role and class assignment.

  1. Go to "Users" > "Invite Links"
  2. View all generated invites with their usage statistics
  3. Deactivate links that are no longer needed

Tip: Create separate invite links for each class so students are automatically assigned to the right class when they sign up.

User Search and Filtering

Searching for Users

  1. Go to "Users"
  2. Use the search bar to find users by:
    • First name
    • Last name
    • Email address
  3. Results update as you type

Filtering by Role

  1. Go to "Users"
  2. Use the "Role" filter dropdown
  3. Select Teacher or Student to filter the list
  4. The user count updates to reflect the filter

User List Information

The user list displays:

  • Full name
  • Email address
  • Phone number
  • Role
  • Class and section assignment
  • Confirmation status (active or pending)
  • Last login date
  • Assigned subjects (for teachers)

Key Responsibilities

As an Org Admin, your primary responsibilities include:

  1. Onboarding -- setting up classes, inviting teachers, and enrolling students
  2. Maintenance -- keeping user records up to date, managing class assignments
  3. Monitoring -- reviewing analytics, tracking exam participation, identifying at-risk students
  4. Support -- helping teachers and students with account issues, resetting access
  5. Reporting -- generating and reviewing organization-wide performance reports
